Medical Computer Cart Evaluation Checklist
Use this checklist before requesting a quotation for a medical computer cart (workstation on wheels). Work through each section with the equipment you actually plan to mount and the ward or clinic workflow the cart will support. Your answers become the configuration brief you send to the supplier, so the quotation is based on your equipment and use case — not on a catalogue default.
1. Display and mounting
- ☐ Display size and weight recorded (diagonal, and weight including any bracket)
- ☐ Display mounting pattern confirmed (for example VESA 75 × 75 or 100 × 100, as stated by the display maker)
- ☐ Required display movement noted: fixed, tilt only, tilt and swivel, or height adjustment independent of the worktop
- ☐ Any second display, document camera or other mounted device listed separately
2. Computer and peripherals
- ☐ Computer type identified: laptop, small form factor PC, all-in-one, or thin client
- ☐ Computer dimensions and weight recorded, and where it will sit (worktop, shelf, or enclosed compartment)
- ☐ Keyboard and mouse arrangement decided (tray, worktop, or shared)
- ☐ Scanner, printer, label printer or other peripherals listed, with their sizes and cable lengths
3. Worktop and storage
- ☐ Worktop space checked against the items that must sit on it at the same time
- ☐ Required drawers or storage listed (medication, consumables, documents), including whether locking is required
- ☐ Basket or accessory needs noted
4. Height, ergonomics and users
- ☐ Main tasks listed (standing rounds, seated documentation, or both)
- ☐ Height adjustment needed or fixed height acceptable — and the reason
- ☐ Adjustment range checked against the shortest and tallest regular users
- ☐ Push handles and grip positions checked for the staff who will move the cart
5. Mobility and the route
- ☐ The cart's daily route walked: door widths, lift size, thresholds, ramps and tight turns
- ☐ Floor surfaces noted (smooth, carpeted, mixed)
- ☐ Caster size and brake arrangement checked against that route and flooring — ask the supplier to state caster dimensions and brake configuration in writing
- ☐ Parking position identified, including space to work around the cart at the bedside or desk
6. Power
- ☐ Everything the cart must power listed, with each device's power draw
- ☐ Required unplugged running time estimated from a real shift pattern
- ☐ Battery evidence requested from the supplier: battery type and capacity, stated output, and what any runtime claim is based on
- ☐ Charging routine decided: where the cart charges, for how long, and who is responsible
- ☐ Cable management for charging and device cables planned
7. Cleaning and infection-control routine
- ☐ Cleaning agents used in your facility listed
- ☐ Material-compatibility evidence requested from the supplier for those agents (do not assume compatibility)
- ☐ Surfaces and seams reviewed for cleanability in the cart's intended area
- ☐ Any facility infection-control requirements written down to send with the enquiry
8. Load and stability evidence
- ☐ Total planned load calculated: display + computer + peripherals + stored items
- ☐ Supplier asked to state, in writing, the load limits for the worktop, the display mount and the complete cart — as separate figures
- ☐ Supplier asked what stability or load testing supports those figures
9. Documentation to request with the quotation
- ☐ Configuration summary for your exact equipment list
- ☐ Which items are included, optional, or not supplied
- ☐ Sample policy, minimum order quantity, lead time and warranty terms — stated in the quotation
- ☐ Certification documents relevant to your market, with the certificate holder and scope identified
- ☐ Packing dimensions and gross weight for your freight calculation
